Outlook comes in many flavors, and changing your signature on the desktop and web can be confusing. But fear not — this article will guide you on how to change your signature in Outlook.
New Outlook/Outlook for Windows
Microsoft has started shipping the new Outlook for Windows as the default mail application for Windows 11 users. The vendor plans to retire the Mail and Calendar apps on December 31, 2024.
As of April 30, the new Outlook is still in preview, with new features on the way.
Here’s how to change your signature in Outlook.
1. Click the New Outlook icon on your desktop.
2. Go to Settings > Accounts > Email accounts (choose email account).
3. Click Accounts > Signatures. The default signature and its name will appear in the editor. Click the down arrow to change other signatures.
4. Rename the signature or modify it as desired.
5. Click +New Signature to add your signature, design it (using templates) and save. Modify the font style, size and formatting. Hyperlink text and images or add a digital business card.
6. Scroll down to Select default signatures to specify where to use this signature — in new messages, replies and forwards, or both and save your choices.
How To Change Signature in Email
You can change your signature while writing an email or add a new one if you don’t want to use the ones you already have.
1. Click on New > Mail on the top left of the Outlook home screen.
2. Select the sender’s email address.
3. Choose from Message > Signature or create a new one via Message > Signatures (won’t apply to the current message).
4. Complete the email message and send it.
Outlook on the Web (OWA)
Users with a Microsoft 365 subscription can access their email from anywhere using OWA.
1. Sign in to your Microsoft account.
2. On the homepage, select Settings > Mail > Compose and reply. Change your signature in Outlook or select another one by clicking the down arrow next to the signature name.
3. Click +New Signature to create a new signature. Give it a descriptive name and hit Save to keep it ready for future emails.
You can use custom fonts and formatting tools to add hyperlinks to images and text, or you can use signature templates from Microsoft.
4. Go to Select default signatures to specify where to use it — in new messages, replies and forwards, or both. Click Save. Outlook will add the signature to your messages.

Classic Outlook
Classic Outlook is independent of Microsoft 365. Despite the New Outlook launch, it’ll enjoy vendor support until 2029.
Here’s how to change the signature in Outlook Classic.
1. Open a new email.
2. Go to Message > Signature> Signatures.
3. Go to Select signature to edit > New and name your signature. Type your signature or use a template (available online). Customize it by formatting the text, adding links or including a logo.
4. Under Choose default signature, choose your email account. Select a signature for new messages and replies/forwards, or none if you want to add it to the email.
5. Select OK to save the signature for future use (Outlook won’t add it to the current message). Want to add it now? Insert it in your message from the Message > Signature menu.
On Mac
1. Open Outlook and head to Preferences (or Settings if you’re using macOS Ventura or later).
2. Look for the Email section and click on Signatures.
3. Click on the name of the signature you want to change and edit it directly in the box on the right. Click the + symbol to create a new signature. Save your changes.
4. Under Choose default signature, select your account and the signature for new messages and replies/forwards. Or choose None for the manual option. Save it and use it in future emails.
