How to Share Your Google Calendar: Ultimate Guide

Share With Selected Contacts

When sharing a calendar, how much is too much? Granting full access to users allows them to create, edit and delete events in your calendar. They can also share events with others.

If your Google account is part of your organization’s workspace, you might not be able to share calendars.

Steps

  1. Go to calendar.google.com.
  2. Locate My calendars near the bottom left and click the down arrow to display all your calendars.
  3. Hover over the calendar to share and click on the vertical dots ⋮ next to its name. You’ll see a popup.
  4. Select the Settings and sharing option. The Settings page will display.

  1. Go to Share with specific people and groups and select Add people and groups.

  1. Add the email addresses of the persons with whom you want to share your calendar and assign permissions. Here’s a list.
    • See only free/busy (hide details): Users can see when you’re free or busy but not the event name and other details.
    • See all event details: Users can view event details unless you mark an event as private.
    • Make changes to events: Users can view, add, modify and delete events, and subscribe to email alerts.
    • Make changes and manage sharing: Users have editing, modification and deletion rights and can subscribe to email alerts.
  2. Click Send.
  3. The recipients will get an email notification with a link to add the calendar (Add this calendar).

As a Microsoft 365, you can share a Google calendar via Outlook.

Share Publicly

  1. Repeat steps one to four from the Share With Selected Contacts section.
  2. On the Settings page, go to Access permissions for events. Choose the Make available to public option.
  3. Select the user permissions. Should they only have view access or editing rights?

  1. Scroll down to the Integrate calendar option. Get the calendar link to share with your contacts. They can view the calendar by copy-pasting this link in a browser.

Sharing Via Mobile

  1. Uninstall the Google Calendar app on your phone first.
  2. Go to calendar.google.com on your mobile browser and sign in to your Google account. You’ll see your calendar mobile view.
  3. Scroll to the bottom of the page and select Desktop. Google will redirect you to the calendar’s desktop view.

  1. Head back to the Share With Selected Contacts or Share Publicly sections for further steps.

How to Disable Calendar Sharing

  1. Go to My calendars and select Settings and sharing.
  2. Under Share with specific people or groups, locate the email address of the person with whom you want to stop sharing your calendar.
  3. Click on the cross (⤫) icon.

FAQs

Selecting the Desktop view on calendar.google.com takes you to the app by default. Uninstall the app first. Now, the Desktop view will show the down arrow.

  • Create a Google Group (if you have the permissions) and add the desired users. Share your calendar with the group email address. The recipients will receive email notifications with a link to add the calendar to their list.
  • Or create a distribution list.
  • Public sharing is another option but beware of the security risks.
